How I handed my invoicing to Claude (and stopped dreading admin)

A behind-the-scenes look at how I connected Claude to my accounting tools to create, send, and chase invoices — the exact automation that first sold me on AI for my own business.

Before I automated anything for other businesses, I automated the thing I hated most in my own: invoicing. This is the story of how I did it — and why it’s the first thing I show anyone who’s skeptical that AI can actually help a small business.

The problem: invoicing was death by a thousand small tasks

None of it was hard. That was the frustrating part. Every invoice meant:

  • Digging up what work was done and for whom
  • Copying details into my accounting tool
  • Double-checking the amounts and dates
  • Sending it, then remembering to follow up when it went unpaid
  • Marking it paid once the money landed

Each one took a few minutes. But across a month, it added up to hours of low-value, easy-to-forget admin — and the “remember to follow up” part is where money actually slipped through the cracks.

The fix: I connected Claude to my accounting and CRM

Instead of a rigid script, I connected Claude directly to the tools I already use — my CRM and my accounting software. Now the work happens in plain language. I can say things like:

“Create an invoice for the work I finished for [client] this week and send it.”

…and Claude pulls the client details, drafts the invoice, and gets it out the door. No switching tabs, no re-typing, no template wrangling.

What it actually handles now

  • Creating invoices from completed work, with the right client and amounts
  • Sending them without me copy-pasting anything
  • Chasing overdue payments with a polite reminder, so I stop leaving money on the table
  • Marking invoices paid and keeping the books tidy
  • Pulling a quick summary — what’s outstanding, what came in this month — whenever I ask

The key thing: it’s conversational. I’m not maintaining a brittle automation that breaks when something changes. I describe what I want in normal words and it uses the same tools I’d use by hand — just faster and without forgetting the follow-up.

It didn’t stop at invoices

Once invoicing worked, the rest of the money admin followed. The same setup now helps me keep the books in order and — the part I didn’t expect to love — pull reports on demand.

Instead of building a spreadsheet when I want to know how the month is going, I just ask:

“How much is outstanding right now, and what came in this month?”

…and I get a straight answer in seconds. What’s owed, what’s overdue, how the month compares — the numbers I used to put off checking are now one plain-English question away. The books stay tidy in the background, and I actually look at my numbers because it’s no longer a chore to see them.

Why this was the turning point

Once invoicing ran itself, two things happened. First, I got time back — the boring admin stopped eating my evenings. Second, and more importantly, I got paid faster, because nothing sat forgotten in a “chase this later” pile.
