Catching the payments that don't line up

One of the most valuable things I do with Claude isn't flashy — it's quietly cross-referencing payments across a business's tools to catch what doesn't match, before it becomes a problem.

Some of the most valuable automation is invisible. It doesn’t produce a shiny dashboard — it just quietly makes sure the numbers agree. Cross-referencing payments is a perfect example, and it’s become one of my favourite things to set up.

The problem hiding in plain sight

Most businesses run on more than one system. Money gets invoiced in one place, paid in another, and recorded somewhere else. Ninety-nine percent of the time it all lines up. It’s the other one percent that costs you — a payment that never arrived, an amount that doesn’t match, something recorded twice or not at all.

Finding those by hand means slow, careful checking that nobody enjoys and everybody puts off. So it doesn’t get done — until something’s already gone wrong.

What I set up instead

I connect Claude to the finance tools a business already uses and have it cross-reference what was invoiced against what was actually paid. Instead of a person scanning rows looking for mismatches, Claude compares across the systems and flags only the things that don’t agree.

The output is simple: here’s what lines up, and here’s what doesn’t — take a look at these. No noise, just the exceptions worth a human’s attention.

It’s not glamorous. But “the money always adds up, and I find out fast when it doesn’t” is worth an enormous amount of peace of mind.

This is the kind of automation people don’t think to ask for, because the manual version is so tedious they’ve mentally filed it under “just part of the job.” It doesn’t have to be.
